QUICK START
===========
If you are like me, you want to get the program up and running
immediately and come back to the README stuff later. Here is how
to get started using Extend-A-File immediatly (I highly suggest
reading the next section "WHAT IS EXTEND-A-FILE")
* Note: The limited access version requires 56k TSR Ram.
* The Full Version requires only 8k TSR Ram. *
EAFILE Loads Extend-A-File in memory. Use the Hot-
Keys [ Alt-/ ] to manually popup
Extend-A-File. See EAFILE <code> below for
automatic popup within supported
applications.
EAFILE/S Loads Extend-A-File (not memory resident) for
use as a disk/file management utility,
including PKZIP/PKUNZIP interface.
EAFILE/U Unloads Extend-A-File from memory.
EAFDEMO You MUST run this program to see the MANY
features of the FULL ACCESS VERSION (A MUST
SEE DEMO).
EAFILE <code>,<data-dir>
Where <code> is the program code of the
program you want Extend-A-File to
automatically popup in, and <data-dir> is an
optional parameter designating the location
of the data files for the selected program.
The codes for supported programs are listed
below. If your program is not listed, you
may also add to this list by pressing [ Alt-
Shift-/ ] and select "ADD/CHANGE" program.

WHAT IS EXTEND-A-FILE
=====================
WELCOME to Extend-A-File. Once you understand what Extend-A-File
is, and you use it, you'll wonder how you ever got along without
it. This is a LIMITED ACCESS VERSION. To see the MANY features
of the FULL ACCESS VERSION run the EAFDEMO program included with
the LIMITED ACCESS VERSION.
In a nutshell, Extend-A-File is a memory resident (8k max if you
have EMS) that allows you to:
1) Give your documents or files using 60 charcter
descriptions instead of the intolerable 8 character DOS
limitation.
2) Place them in organized, categorized LIBRARIES.
3) Automatically (and invisibly) save and retrieve your
documents using the Extend-A-File interface (without
learning any new keystrokes).
But that's not where Extend-A-File ends. There are other
programs that allow you to maintain long file descriptions for
files, such as Norton adn the old AX program, but these do not
compare to the power, flexibility and automatic background work
that Extend-A-File provides.

That's why we have created this LIMITED ACCESS VERSION (TEST
DRIVE) of Extend-A-File.
Doctors, Lawyers, Computer Programmers/Analyst, Secretaries,

What is new in 4.02
===================
Renaming Archive (ZIP) Files
----------------------------
Under the Archive Utilities you now get a Rename command. This
allows you to edit the description of a ZIP file.
Suppressing the File Utilities
------------------------------
You can now turn off selected File Utilities (e.g. Copy, Delete,
etc.). This only applies for network subdirectories. All file
utilities are available for use with files in local
subdirectories.
Run MAINCNF and select General Options. The options in question
are located under "File Security on Network". You may override
these options on a user by user basis though USERCNF's General
Options.
Faster Posting of Statistics
----------------------------
Previously, posting the time/keystroke/page accounting
information required Extend-A-File to scan each and every
subdirectory looking for ones that had new information. Now,
Extend-A-File dynamically tracks the subdirectories that are
worked in, resulting in a much faster posting process.
If you are upgrading from an earlier release of Extend-A-File,
you will need to post the old way one more time in order to
initialize the tracking file.
Once the tracking file (EAFILE.PST) is initialized, Extend-A-File
begins keeping track of where you save WordPerfect documents.
The next time you run EAFUTL.COM and select "Post Statistics" you
will be asked to enter the register and cut-off dates as before
and then see the you will see following prompt:
Automatically post file statistics?
If you answer Yes, Extend-A-File skips the path tree and
immediately begins posting the accumulated information. If you
answer No, you will get the path tree so you can do single or
branch posting as before.
Printing the Field Code Tables
------------------------------
Run EAFUTL.COM and choose "2. Print Reports & Tables". In the
next menu, choose "2. Field Code Tables". Choose a report format
or add a new one.
To configure the layout for the Field Code listing, press [B]
(Line Format). At the Line Format menu, enter the numbers and or
letters of the items you want in the listing. The sequence of
the listing is determined by the first item in the line. You
must begin the line with a code or description. If you include
charge information, it will be based on the preceding
code/description record. For example, if field 1 is "Client" and
field 2 is "Matter" then a line format of "1H2H" will result in:

DEF $45.00= 002 $ 0.00=
The above rates per hour are the adjustments to the base rate per
hour. A plus sign (+) indicates that the number will be added to
the base cost. An equal sign (=) indicates that the number will
Override the base cost. The third line shows that Client DEF is
charged $0/hour for Matter 002.
MAINCNF and USERCNF - General Options
-------------------------------------
The General Options have been reorganized into related groups.
This provides a better way to view and change your configuration.

Path Selection by Field Codes
-----------------------------
If you organize your files by Client/Matter subdirectories, you
need to run MAINCNF and set General Option "Do path selection by
Field ID Codes?" (under Path Options) to YES. This will provide
a stream-lined method of changing your path by prompting you for
the ID Codes that determine a document's subdirectory. You will
continue to have the option of using the regular path tree when
necessary. For this option to work, you must a) have a Base Save
Path and b) one or more Field codes configured with Subdir Levels
set to Yes (use EAFUTL.COM, Change Configuration).
You can customize the messages that appear on this screen by
editing a textfile called "EAFPATH.MSG". Specific messages can
be presented for each Field code during either direct entry or
table lookup. See "EAFPATH.MSG" for specific instructions. Be
careful to resave it as a TEXTFILE! If you will be using
WordPerfect, set the margins to their widest settings before
using [Ctrl]+[F5] to retrieve "EAFPATH.MSG". Save it back using
[Ctrl]+[F5].
Fast Path
---------
You now have an additional way to choose a subdirectory: Fast
Path. This feature allows you to create and maintain a
personalized list of your most frequently accessed
subdirectories. In addition, Fast Path keeps a history of the
last 1 to 9 subdirectories you accessed. You can access Fast
Path by pressing [F6] from most screens (note the function key
list at the bottom of the screen for verification).
Fast Path has three possible display windows: Menu, Historical,
and Both. The Fast Path Menu contains a permanent list of
subdirectories that are a combination of those entered by the
sysop (EAFUTL, Change Configuration, Set Global Fast Paths) and
ones the user adds for themselves. The Historical display shows
that last 1 to 9
subdirectories that have been accessed. You may flip between
Menu and Historical by pressing the [Tab] key. The final display
option is a mixture of both Historical and Menu subdirectories.
To set the desired Fast Menu display, press [F6] while in Fast
Path.
You can customize the heading information of Fast Path screens by
editing a textfile called "EAFPATH.MSG". See "EAFPATH.MSG" for
specific instructions. Be careful to resave it as a TEXTFILE!
Fast Path can be configured to pop-up upon entering WordPerfect.
See the following paragraph.
Pop-up to Path Selection upon entering WordPerfect
--------------------------------------------------
You can now have EXTEND-A-FILE automatically pop-up to the Path
selection window when you first enter WordPerfect. This option
is controlled via the MAINCNF General Option "Do path selection
upon starting application?" (under Path Options). You also have
the option of going directly to Fast Path by setting the General
Option "Go directly to Fast Path?" to YES.Version Control
---------------
The command to access a file's backups has been changed from a
function key ("F6=Bk?") to the command bar ("Bk?") in the File
Window. "Bk?" is located between View and Find.
Network Mirror Saving
---------------------
EXTEND-A-FILE now supports mirror file saving. Mirror saving is
when a file saved to a network drive is also automatically and
transparently saved to your local hard drive. This provides the
user with the knowledge that if the network goes down, work can
continue using local copies of the files.
To configure this feature, run MAINCNF.COM and select Network
Mirror Saving. There are three options:
Do Mirror Saving? YES/NO (Turn the feature ON or OFF).
Base Mirror Path: C:\ZMS (Define the subdirectory off which
mirrored files are
saved.
Delete mirrored files after? (Set the max age of mirrored
files).
Files are mirrored to the local drive under a subdirectory made
up of the "Base Mirror Path"\"Drive"\"Network Path". For example,
if a file is saved to "F:\WP\DOCS\FILE.DOC", it would be mirrored
to "C:\ZMS\F\WP\DOCS\FILE.DOC". The suggested Base Mirror Path
of "C:\ZMS" is meant to put it at the end of your path tree.
A special utility called EAFMSP.COM (Extend-A-File Mirror Save
Purge) needs to be run periodically (preferably just after
logging on to the network). This utility has two functions:
deleting old mirror files and restoring newer mirror files back
to the network. Mirror files are deleted when they are older
than the designated age. A mirror file is restored when its date
last saved is more recent than its counterpart found on the
network. New files created in a mirror subdirectory while the
network is down will automatically be copied to the network the
next time EAFMSP is run . EAFMSP requires you to specify which
processing options you want done. Your choices are:
/A=xx Resets the delete age from 7 to xx days old (between
1 and 999).
/C Copy newer mirror files back to network subdirectory.
/D Scan the mirror paths and Delete mirror files over age
limit.
/T Performs a test run without copying or deleting files.
/WIPE Deletes all mirrored files regardless of age.
You must use one or more of the above parameters.
The recommended way to run this program is: EAFMSP /C /D
More Field Codes
----------------
Extend-A-File offers four basic Field ID codes (i.e. Client,
Matter, Lawyer, Doc Type). You may have up to three additional
Field ID codes by running MAINCNF and setting General Option
"Track time and keystrokes?" (under Cost Recovery) to NO. To
configure Field ID codes, use EAFUTL and select "6. Change
Configuration" and then "2. Field Parameters". If the additional
three codes are available, the word "->More" will appear in the
upper right corner. Use the right arrow key to scroll the
configuration window over to the other three ID fields. These
additional fields must be made Active (Yes) for them to be
available.
New Find File Window
--------------------
The Find window for files has been changed to appear as follows:

etc...
To move down a row press [TAB] or the down arrow. To select the
Find Scan parameters (where to look), press [Enter]. You can
specify as little or as much as you like. Multiple items can be
entered on each line as long as you separate them with the
desired operand of AND, OR, or NOT (or their single character
equivalents, i.e. "&"=AND, "|"=OR, "%"=NOT). For example, to
find all the files named with the words "Letter" or "Note" as
well as "Personal" but not "to John", you would enter the
following into the Find window:
Extended Name: Letter or Note and Personal not to John -
or- Extended Name: Letter | Note & Personal % to John.
When you press [Enter] you will be prompted where to search for
the files. That portion continues to work as explained in the
manual.What was new in 4.01
====================
Windows 3 and Carousel
----------------------
When using either Windows or Carousel you should load EXTEND-A-
FILE (EAF) within each window or partition you need it. To
support this capability you need to load the EAF Multi-Partition
Controller (MPC) BEFORE starting Windows or Carousel. The
command to start the MPC is:
EAFILE /M
The MPC takes 350 bytes of memory. It permits the loading of up
to 20 simultaneous copies of EAF on your PC. It is important
that before you close a window or partition that you unload
EXTEND-A-FILE (EAFILE /U). Otherwise, the MPC will continue to
track that a copy is loaded. The next time you boot, the MPC
will reset the number of copies loaded to zero.
Listing the Field Code Tables by Description
--------------------------------------------
Previously, the tables were listed exclusively in Field Code
order. When the table is on the screen you may now use the [F2]
key to toggle between sorting by Code or Description.
IMPORTANT NOTE TO 4.00 USERS: You must run the conversion
program EAFIDX.COM to upgrade your table files to support the new
sort feature. Get to a DOS prompt in the EXTEND-A-FILE
subdirectory and type: EAFIDX [Enter]. There are four tables to
be indexed. You must let it run to completion before you can run
EAFILE version 4.02.
Highlighted Field Entry
-----------------------
The location and size of entry fields in EXTEND-A-FILE are now
shown in reverse video. This option can be disabled via the
MAINCNF General Option "Show current input area in reverse
video?" found at the end of the list.
Using an Environmental Variable other than "XNP=usercode"
---------------------------------------------------------
If you are running EXTEND-A-FILE on a network, you are required
to define the environmental variable "SET XNP=usercode" (where
"usercode" is unique name, initials, or code each PC/user). This
tells EAFILE which user profile to use when starting up.
However, if you already have a user specific environmental
variable defined as a result of another program's needs, you can
now tell EAFILE to also recognize it, and therefore not need to
have "XNP=usercode".
You need to edit (using a text editor) the EAFILE general
configuration file "XNPLUS.CNF" found in the EXTEND-A-FILE
subdirectory. Near the end of this file you should find the
following line (if not, just add it):
XNP=XNP
Change the second "XNP" to the name of the environmental variable
you want EAFILE to recognize instead. For example, if already
have something like "USER=%Login_Name", then change "XNP=XNP" to
"XNP=USER". Subsequently, when EAFILE loads, it will look to
"USER" to get the usercode.
Renaming Multiple Files
-----------------------
You can set the Field ID Codes, Allow-Archive option, and Read-
Only setting of multiple files by using the Tag and Rename
commands under File Utilities. Tag the files you want to affect
and then select Rename. If you do not have the ability to alter
the Read-Only flag (as set in the General Options), you will only
be able to change the Field ID Codes or the Allow-Archive option.
Renaming Prior Versions of a File
---------------------------------
When you list a document's backup files (using [F6]), you now
have a Rename option available. Only backup files created by
EXTEND-A-FILE (extensions ".BKA" thru ".BKZ") can be renamed.
Support for Lotus 2.2, 2.3 & 3.1 and Quattro 3
----------------------------------------------
EXTEND-A-FILE now supports the WYSIWYG modes of these programs.
See Appendix E in the manual for specific instructions.
Reducing Memory Usage
---------------------
You can now further reduce EXTEND-A-FILE's memory requirements by
moving a portion of the "Additional Overhead" from memory to
disk. The saving varies, depending on the number of Filenames
and Libraries configured.
At a DOS prompt, run the EAFILE configuration utility called
MAINCNF. From the MAINCNF menu, select "Memory Allocation". The
size of the "Additional Overhead" is based on the number of
Filenames per subdirectory as configured. A portion of this
overhead is dynamic and can be relocated to disk. Choose the
"Overhead" option and your choices will be "Memory" or "Disk".
The "Memory" option keeps all the overhead in memory. The "Disk"
option saves memory, but will increase disk activity when
popping-up EXTEND-A-FILE.
Also note that the "Screen Buffer" can also be moved to disk for
a tidy savings of 4,000 bytes. Use the "Screen" option within
"Memory Allocation".
If EXTEND-A-FILE is located on the network, you can redirect
where the temporary files are created by having the following SET
statement:
SET EAFTEMP=C:\
If you place the above statement in a Novel login script, be sure
to surround the C:\ (or other path) with double quotes (i.e.
"C:\").
Tracking Pages Printed
----------------------
EXTEND-A-FILE can now track Pages Printed in addition to Time and
Keystrokes. This feature is controlled via the MAINCNF "General
Option" called "Keep track of Pages Printed?" (located at the end
of the list). You must have "Keep track Time & Keystrokes?" (the
prior option) set to YES in order for page tracking to operate.
Tracking the number of Pages Printed is NOT automatic. In order
to record the number pages printed, you must SAVE or RESAVE a
document after you print. Within the EXTEND-A-FILE save window,
below "Extended-Name:", you enter the number of pages you have
just printed. The "Sub-total this session:" is the total number
of pages printed since the document was loaded. You can adjust

Path - Setting the Default to CHANGE or LOOK

Access MAINCNF and select "Drive Types" from the menu. After you
choose a drive letter and then select Free or Network, you will
be prompted to choose the default Select option.
Finding Indexed Words
---------------------
Appending an asterix (*) to the END of a word now has the same
effect as a string of question marks (????...). This is useful
if you want to search for all endings of a word. For example,
entering "SAV*" would locate all occurrences of "SAVe", "SAVed",
"SAVer", "SAVes", "SAVing", "SAVior", etc.
Updating the Long Filename in WordPerfect 5.1
---------------------------------------------
When saving or resaving a document, EXTEND-A-FILE will
automatically update the document summary area to include the
Extended-name, Library, Owner, and Field ID codes. Therefore, if
the document is copied or moved to another drive or subdirectory
through DOS or any other utility (i.e. XTGOLD, PCTOOLS, NORTON,
etc.), EXTEND-A-FILE will read the document summary to re-catalog
the file in its new location.
You must use the WP 5.1 program code (WP51) to activate this
option. Use EAFWP51.BAT to load EXTEND-A-FILE with WordPerfect
instead of EAFWP.BAT.

Typing the following codes in WordPerfect will cause them to be
replaced with the appropriate profile field of the current
document.

Macros
If you have a macro that saves or retrieves a file, you need to
add a {DISPLAY OFF} code in the macro in order to prevent EAFILE
from popping-up while the macro executes.
If you want EAFILE to pop-up after you do [ALT]+[F10], type a
[?].
If you want EAFILE to pop-up after you do [CTRL]+[F10], type a
[?].
Secondary Merge File
If you want EAFILE to pop-up to select the secondary file, type a
[?].ENABLE 2.15 thru 3.15

ENABLE is now supported. The batch file to load EAFILE with
ENABLE is called "EAFEN.BAT". You will need to edit this batch
file in order to indicate the subdirectory where EAFILE needs to
look for your files. See the batch file for instructions.
SUBDIRECTORY DESCRIPTIONS
-------------------------
If you use the "Dynamic Single Level Path Tree", you can attach a
long description to each subdirectory name. To add descriptions,
use the PATH command to access the tree, highlight a subdirectory
and select the Xname command. After entering your descriptions,
you can toggle between the descriptions and the mini-tree by
pressing the [F4] key.
COLOR CONTROL
-------------
The color selection feature has been improved to give you more
information about your options. Each color/shade has a number
between 0 and 15. On the right side of the Color Window is a
list of the foreground colors for the selected background color.
First, use your up and down arrows to select the display
category. Press [B] to cycle your background color. Press [H]
to cycle your Hi intensity color. Press [L] to cycle your Lo
intensity color.
